Terms of Service

Last updated: 15 October 2026

The short version: QUOTE21 is a business tool, provided as is. You are responsible for checking every quote before it goes to a customer. Subscriptions renew automatically and are not refundable: if you don’t want to continue, cancel before your next renewal. We are not liable for losses arising from your use of QUOTE21, to the fullest extent the law allows.

1. Who we are and what this is

QUOTE21 (the “Service”) is an online quoting tool operated by Apricity Capital, registration number 2013/120876/07 (“we”, “us”). The Service is available at quote21.com and app.quote21.com. By creating an account, ticking the agreement box, or using the Service you agree to these Terms. If you do not agree, do not use the Service.

2. Business use

The Service is for businesses and business purposes only. By signing up you confirm that you are at least 18, that you are authorised to bind the company you register, and that you are not using the Service as a consumer.

3. Your account

You must give accurate information and keep your password secure. You are responsible for everything done under your account and for the people you invite to your team. Tell us at once if you suspect unauthorised access. We may refuse, suspend or close any account at our discretion.

4. Free trial

New accounts may receive a free trial of 14 days, with no card needed. When the trial ends you must subscribe to keep using the Service. We may change or withdraw trials at any time.

5. Subscriptions, payment and cancellation

6. Your content and your responsibilities

You keep ownership of the price lists, catalogues, pictures, customer details, quotes and other material you upload or create (“Your Content”). You give us a limited licence to host, copy, process and display Your Content only as needed to run the Service for you, including sending it to the service providers listed in our Privacy Policy.

You are solely responsible for Your Content, for having the right to use it, and for the accuracy of every price, margin, tax rate, total, description and customer detail in any quote you create or send. Automated and AI-assisted features (such as reading price lists, requests for quotation or tenders) can make mistakes. Always check the result before you rely on it or send it to anyone. A quote is your document, not ours.

7. Acceptable use

You must not: break the law or infringe anyone’s rights; upload unlawful, harmful or malicious material; try to access other customers’ data or interfere with the Service; reverse-engineer, copy, resell or white-label the Service without our written consent; use it to send spam; or overload or abuse it (including through automated means). We may remove content and suspend or close accounts that breach this clause.

8. Our rights

We own the Service, including its software, design, text and branding. You get a limited, non-exclusive, non-transferable right to use it during your subscription. Feedback you give us may be used by us freely.

9. Availability and changes

We aim to keep the Service running but do not promise it will be uninterrupted, error-free or secure. We may change, add or remove features, impose limits, or carry out maintenance at any time. You are responsible for keeping your own copies of anything important; we recommend regular exports.

10. No warranties

The Service is provided “as is” and “as available”. To the fullest extent permitted by law, we give no warranties or representations of any kind, express or implied, including about accuracy, reliability, fitness for a particular purpose, merchantability, non-infringement, or that the Service will meet your needs.

11. Limitation of liability

To the fullest extent permitted by law, we, our owners, directors, employees and service providers are not liable for any loss or damage of any kind arising out of or in connection with the Service or these Terms, whether in contract, delict (tort), negligence or otherwise. This includes direct, indirect, incidental, special or consequential loss; loss of profit, revenue, business, customers, goodwill or data; incorrect or lost quotes, pricing or tax errors; downtime; and the acts or omissions of third parties (including PayPal, hosting, email and AI providers).

If a court decides that liability cannot be fully excluded, our total liability for all claims will not exceed the amount you paid us for the Service in the three months before the claim arose.

You use the Service at your own risk. Nothing in these Terms excludes liability that cannot lawfully be excluded.

12. Indemnity

You indemnify us against all claims, losses, costs and expenses (including reasonable legal fees) arising from Your Content, your quotes and dealings with your customers or suppliers, your breach of these Terms, or your breach of any law or third-party right.

13. Suspension and termination

You may stop using the Service at any time. We may suspend or terminate your access immediately if you breach these Terms, if payment fails, or if we stop offering the Service. After termination your access ends and we may delete Your Content after a reasonable period (see our Privacy Policy). Clauses that by their nature should survive termination (including 5, 6, 10, 11, 12 and 15) will survive.

14. Changes to these Terms

We may update these Terms from time to time. The current version is always at quote21.com/terms. If you keep using the Service after a change takes effect, you accept the new Terms. If you do not accept a change, cancel your subscription before your next renewal.
